Committee Members – Roles, Responsibilities and other useful information

A club’s committee enables the organisation to be run effectively by applying good governance principles and practices. The committee’s role is to govern and should not be involved in management or operational decision-making. The committee should comprise of people with an appropriate range of skills, aligning with the clubs current and future business. Committee members should be familiar with current legislative requirements when taking on responsibilities.

Conducting Meetings

There is a lot of time lost in committee meetings due to members going off topic and not sticking to pre-arranged agendas.  Clubs can lose their most important volunteers due to meetings going overtime and or being poorly organised.

Financial Management

Good financial management involves being able to review financial information, effectively manage funds, implement sound financial practices and understand your club’s financial position and obligations.

Legal Issues and Risk Management

Sport and recreation clubs need to identify areas of potential risk.

Training in this area highlights the role of a constitution in a sport or recreation organisation and what a constitution should cover. It details specific legal principles in the sport and recreation environment, considerations relevant to the liability for injury, and the advantages of risk management planning and insurance.

It also covers the importance of contractual obligations, copyright issues and specific legislation such as incorporation or child protection.

Volunteer Management

Volunteers supporting sporting clubs are defined as the following:

  • Club Official – A person holding a position of authority within the club as a volunteer committee member or paid staff.
  • Official (Technical) - A person who controls the play of a competition by applying the rules and regulations of the sport to make judgments on rule infringement, performance, time or ranking.
  • Coach - Assists athletes in developing to their full potential. They are responsible for training athletes in a sport by analysing their performances, instructing in relevant skills and motivating athletes.

Volunteers play an integral part in clubs and it is important to make them feel valued and part of the organisation. The key to volunteer management is effective leadership. Good leadership volunteers achieve their tasks and fosters a motivational environment.

Training is available on recruiting volunteers; it introduces the human resource management approach, helps you understand the value of diversity, the roles of volunteers, and explains the process of human resource planning, recruitment, selection and orientation.

NT Peak Sporting Bodies have calendars identifying training and development opportunities to assist their clubs with encouraging volunteer development.

The Northern Territory Institute of Sport currently runs scholarship programs for coaches and officials, further supporting the volunteer roles in clubs.

Benefits of Coach and Official accreditation are:

  • increase enjoyment for coaches, officials and athletes through the benefits of involvement in the sport;
  • awareness of legal responsibilities and a decreased risk of litigation;
  • access to professional development opportunities;
  • increased confidence and competence as a coach or official;
  • receive quality training and resources that will assist them to effectively fulfil the important roles of a coach or official;
  • be considered for selection as a representative coach or official;

Why should clubs use accredited coaches and officials?

  • It reduces the likelihood of someone having a negative training or competition experience;
  • Improves the status and recognition of your club;
  • Participants and parents know the club values providing a quality experience for athletes;
  • Having good coaches and officials increases a participants’ enjoyment of sport and motivation to stay involved in sport;

Grants, Fundraising, Sponsorship and Marketing

Grants, fundraising, sponsorship and marketing are all crucial factors to bring in additional funding and promotion to a club. Grants, fundraising and sponsorship are great ways to support your athletes and volunteers.  Grants can be accessed to assist with coach and technical official development; this will assist your club in recruiting and retaining volunteers.

Well-written policies allow staff and volunteers to clearly understand their roles and responsibilities. Policies allow management committees to guide operations with clear guidelines and actions for volunteers and staff.

Constitutions and Incorporated Associations

A constitution sets out the rights and liabilities of the members, establishes the club, and sets out the club’s purpose and the rules under which it operates.

A constitution should specify all of the following:

  • Membership
  • Meeting types, structures and regularity
  • Structure of the committee
  • Powers of the committee
  • Number needed for a quorum
  • Indemnification of members
  • Manner of winding up the club and distribution of assets.

When a club incorporates it becomes a legal entity in its own right and is independent of its members. This means that individual members of the club are protected from any legal liability. See the factsheet below for more information:

Codes of Behaviour, Being a Welcoming Club and Cultural Diversity

A Code of Conduct can be an important step in establishing an inclusive culture and becoming a welcoming club, but it is not a comprehensive solution on its own. An ethical, diverse, and welcoming culture is created by the organisation's leaders who demonstrate their ethics in their attitudes and behavior. Simply requiring members to read the code is not enough to ensure that they understand it, remember its contents and enforce them.
